Guidelines for Seminars/Conferences by Study Centers/Centers of Responsibility

 

1.0      APPROVAL AT THE STUDIES CENTER LEVEL

Seminars/Conferences that do not involve outsiders and expenses below RM20,000.00 or
Seminars/Colloquiums/Webinars/Conferences that do NOT involve calls for papers from external parties/co-organization with external parties and
The organizing application paperwork must be submitted to the Dean of the School for approval and
Does not require the approval of the Seminar Committee and
A brief report of the organization must be submitted for information to the Seminar Committee as in Appendix A.

 

2.0     APPROVAL AT VICE-CHANCELLOR LEVEL 

Seminars/Conferences organized by Departments/Responsible Centers other than the Study Center and the units under it are sent directly to obtain the Vice Chancellor's approval.
(Referring to letter No. JPT.S(G) 2000/01/04 JLD.2(1) dated 27 Aprill 2011 (Appendix B) The Cabinet on 22 September 2010 agreed to delegate the authority of YB Minister of Higher Education to the Vice Chancellor/ Rector for approval of the organization of international seminars by IPTAs. Therefore, any application to organize international seminars does not need to be submitted to KPT for approval)

 

3.0      APPROVAL AT UNIVERSITY SEMINAR COMMITTEE LEVEL
 
Seminars/Conferences as follows must be brought for the Committee's approval
Spending RM20,000.00 and above or
Seminars/Conferences Colloquiums/Webinars involving call for papers or
Involvement of organizing with external parties and
Submit application papers directly to the Seminar Committee without going through the approval of the Academic College.
 

4.0      COMMITTEE APPROVAL PERIOD BEFORE ORGANIZATION

 
Seminar/Conference at University level – 3 months
National/International Seminars/Conferences – 6 months
(For seminars by invitation or co-organization by external parties, applications can be made before the organization is subject to the approval authority as in point 1.0 or 3.0 above).

 

5.0      SEMINAR ACCOUNT CLOSURE PERIOD AFTER ORGANIZATION

 
University/National Level – 3 months
International Level – 6 months
National/International Level – 12 months (including journal publication)

 

6.0      USE OF THE SEMINAR APPLICATION FORM
 
School Level Seminar Reporting Form (Appendix A)
Application form for holding a seminar (Appendix B)
Seminar Closing Application Form (Appendix C)

Photo Images/Audio Visual Release Form (for Webinar) (Appendix D)

 

7.0     USE OF THE UNIVERSITY LOGO FOR THE ORGANIZATION OF ONLINE SEMINARS (WEBINAR)
 

All use of the University's logo in the organization of online seminars or webinars (for promotional purposes, visibility and others) must obtain the approval of the University's Seminar Committee subject to the approval authority as in point 1.0 or 3.0 above.
